Site Development Administrator

Location: Castle Rock, CO

Scope of Position

The Site Development Administrator is responsible for providing project coordination between the Site Development Engineers and Site Development Project Manager.  Responsibilities include coordination of meetings, procurement administration, project tracking, material tracking, assisting with bidding process, coordination of maintenance projects, assistance with project design, assistance with project construction, providing detailed site information to other Teams and fieldwork.  This position will interact directly with the Site Development Engineers, Network Operations Team, Transport Team, Real Estate Team, contractors and business partners.  The Site Development Administrator may provide administrative support for any projects managed by the Site Development Team.

Specific Responsibilities

Coordination of Meetings:

  • Assist in the facilitation of meetings with vendors, field crews and Team regarding construction projects
  • Organize and conduct meetings with Site Development Team, suppliers, contractors and warehouse personnel

Procurement Administration:

  • Administer Construction Bids, assemble bid matrices, coordinate RFQ’s for materials and services under the direction of the Site Development Manager
  • Interface with vendors regarding equipment and PO status
  • Review invoices and coordinate with field personnel to ensure that products have been received and work has been completed
  • Interface with Accounts Payable Team to ensure that PO’s are processed and invoices paid under the direction of the Site Development Manager
  • Input bid information into bid matrix, place bids onto sever and email to Projects Manager

Project Tracking:

  • Maintain site development tracker
  • Serve as back-up for Site Development Manager in facilitation of weekly Site Development conference calls
  • Update and disseminate information from Siterra tool

Material Tracking

  • Serve as interface with vendors regarding status of materials
  • Serve as interface with Procurement Team and Accounts Payable Team to determine status of materials
  • Coordinate material order fulfilling, kitting, shipping and delivery for Site Development Engineers
  • Update “Bill To” addresses in system, update lease and utility information and add shipping locations to the different sites

Coordination of Maintenance Projects

  • Create and manage a maintenance tracker
  • Ensure that materials and services are ordered

Provide Assistance with project construction

  • Coordinate application for and receive NTP from tower owners on collocation sites
  • Complete building permit applications and file for permits
  • Complete power applications and request power construction fees
  • Provide detailed site and project information to contractors

Provide support to Site Development Engineers and Site Development Manager

  • Provide Administrative support to Site Development Manager to include organizing and filing project related documents
  • Provide Administrative support to Site Development Team including assembling documents, creating copies, processing expense reports, etc.
  • Provide support to Site Development Team to include preparing site closeout books for miscellaneous vendors
  • Serve as Team expert in the tool used to track project workflows and data (currently Siterra)
  • Support Site Development Engineers by inputting information in Siterra and on the server

Minimum Job Entry Requirements

  • High School Diploma
  • At least three (3) years of experience in office responsibilities and procedures
  • Knowledge of principles and practices of basic office management and organization
  • Ability to work well individually or as part of a team
  • Demonstrated verbal and written communication skills
  • Proficient in Microsoft Office tools (especially WORD and EXCEL)

Desired Qualifications

  • Knowledge of principles and practices of planning, records management and general administration
  • Ability to operate standard office equipment, including but not limited to computers, telephone systems, calculators, and copiers
  • Experience using NetSuite
  • Experience using Siterra
  • Knowledge of wireless industry practices
  • Knowledge of Construction and Real Estate practices
  • Ability to follow verbal and written instructions
  • Effectively communicate relevant project information to peers and leadership
